How do I fix errors on the new USA visa appointment portal (usvisascheduling.com)?

The new USA visa scheduling portal has been throwing errors at almost everyone — and the frustrating part is there are no official instructions telling you what to do. After months of working through these problems with clients, I have found fixes for the eight most common ones.

In July, the USA visa system moved from the old CGI portal to the new usvisascheduling.com portal. Since then, I have heard from hundreds of applicants who cannot add dependants, cannot reschedule, cannot even log in. You are not alone — and most of these errors do have workarounds. Below are the eight issues I see most often, along with the exact steps that have worked for my clients.

Error 1: You need to update your DS-160 confirmation number

On the old CGI portal you could update your DS-160 number yourself by logging in and editing the field. The new portal has removed that option entirely. So if you realise you made a mistake on your DS-160 and need to submit a fresh form, what do you do?

The answer is: update it at the biometrics appointment. Bring both your old DS-160 confirmation page and your new DS-160 confirmation page to the biometrics centre, and tell the staff that your form number has changed and needs to be updated. This is a completely routine process — many centres in India have even set up a dedicated counter for it. It will add roughly five minutes to your visit, nothing more. So please do not hesitate to fill a corrected DS-160 form out of fear that you cannot update it. You can, and it is straightforward.

Error 2: You cannot add dependants to your profile

This is probably the most widespread problem on the new portal. Whether you are on an L1 trying to add your spouse and child as L2 dependants, or you want to book a B2 appointment for your parents together, the system keeps throwing errors — things like 'existing username in database' or a random error message with no explanation.

Hack 1: Create a completely separate visa profile for each dependant

Instead of trying to add your dependant inside your own profile, create an entirely separate visa profile for them — their own email address, their own login, their own security question. Then book appointments for each person individually and do your best to get the same date and time, or as close together as possible. I know it is not the ideal experience and the process is repetitive, but many of my clients have completed their interviews this way without any issue.

Hack 2: Slightly edit the passport number to trick the system

If you are stuck at the dependant-adding step — or any other step in the process — try making a tiny change to the passport number already entered for that person. Change one letter or one digit. This tricks the system into treating the entry as new, and in many cases it lets the process move forward. This same trick works if you have added the dependant but then get stuck at the fee payment or appointment scheduling steps as well. The critical thing to remember: once you have completed that step, go back into the profile, click edit, and correct the passport number back to what it actually is. You absolutely do not want to walk into your interview with a wrong passport number on file.

Error 3: The reschedule option has disappeared from your profile

You log in, you have an appointment, but there is simply no button or link to reschedule it. Three things have worked consistently for people in this situation:

First, switch your browser. If you have been using Chrome, try Firefox instead. Second, clear your browser cache completely and do a fresh login. Third, try opening the portal in incognito mode. In many cases, doing any one of these three things causes the reschedule option to reappear. If you have access to a different computer or laptop, switching to a different device entirely can also help.

Error 4: There is no way to print or save your appointment confirmation

The old portal had a clear print button. The new one simply displays your appointment on screen with no save or print option. The fix is simple: use Ctrl+P on a Windows laptop or Cmd+P on a Mac, and choose 'Save as PDF'. You can do the same on your phone through the print option in your browser. When you do this, make sure the barcodes on the page are clearly visible — those barcodes are scanned when you arrive at the biometrics centre and at the interview.

Here is an important warning I have seen catch people out: once you book your appointment, save and print that confirmation page immediately before you do anything else. Why? Because if you then try to reschedule or click around in other tabs, the appointment confirmation tab can disappear entirely from the portal — it just stops showing. If you already have the PDF saved, you are protected even if that happens.

Error 5: SGAA errors (SGAA 15, 20, 25, or a generic 'an error has occurred' message)

SGAA errors are random technical glitches in the portal software — they can pop up at any point and are not caused by anything you did wrong. Two things have worked best for resolving them.

The most effective fix is using a different computer entirely. If your current laptop keeps triggering these errors, try borrowing another device. If that is not possible, shut down your machine fully, restart it, and try again. The second effective approach is logging in during off-peak hours. SGAA errors appear much more frequently when large numbers of people are using the portal — typically between 8 and 10 in the morning and in the early evening. Logging in early in the morning, during the afternoon, or late at night tends to produce far fewer errors. The usual steps of clearing your cache, switching browsers, or using incognito mode are also worth trying.

Error 6: You cannot log in at all

This one is uniquely frustrating because you know your profile exists and you know you are entering your security answers correctly, but the system still will not let you in. Unlike the other errors on this list, there is no self-service hack for a login failure — you need to contact customer support directly.

You can reach them by email at support-india@usvisascheduling.com, or by phone (the current number is listed on the portal). It will likely take a few attempts and some back-and-forth, so be patient. In most cases I have seen, calling the support line does get the login issue resolved.

Error 7: The portal is asking for an 'Exchange Visitor Number' and you don't know what it is

This one applies to F1 and J visa applicants only. When you create your profile for a student visa, the system asks for something called the Exchange Visitor Number. This is not the same as your SEVIS ID — your SEVIS ID is printed on your I-20, and many people enter that by mistake.

The Exchange Visitor Number is found on your SEVIS fee payment receipt. After you pay the SEVIS fee, look at the receipt — below the service number you will see another number that begins with the letters CCC. That full number starting with CCC is your Exchange Visitor Number, and that is what you enter into the portal.

Error 8: You cannot find your passport status after your interview

Your visa has been approved, your passport is with the embassy, and now you want to know when it will be returned. The place to check this is a section of the portal dashboard called PPN. When you log into your account, look in the right-hand corner of the dashboard — you will see a tab labelled PPN. Click on it and scroll down to see your current passport status. This is the only place in the new portal where you can track your passport after a visa approval.

Issues I am still working on

There are a couple of situations I have not yet found reliable fixes for — specifically cases where a payment has been made but is not reflected in the portal, and appointments that get cancelled randomly without any action from the applicant. I am still working through these with clients and will share solutions as soon as I find them.
